Receptionist

How it works

A receptionist that answers your calls.

Your receptionist sits on top of how you already run. It answers when your team can't, or every call if you prefer, and hands every enquiry straight to you.

Good evening, you’ve reached Dale’s Plumbing & Heating. How can I help?
Hi, my boiler’s just cut out. Any chance of tomorrow morning?
We can do that. There’s a slot at 9:30am. Shall I book you in?
Yes please.

The idea

A receptionist that fits how you already work.

Your number, your phone and your staff stay the same. In backup mode your receptionist only steps in to catch what would otherwise slip away, the call no one reached, the after-hours enquiry, the missed call that would never get a callback. Prefer every call answered the same way? Run it live instead.

What it handles

Two ways it answers.

  1. 01

Backup: it steps in when you can't

When your team can't reach the phone, because you're on the tools, up a ladder or already on another call, your receptionist answers instead. It greets the caller, answers from the facts you've verified, and either books the job onto a connected calendar or takes their name, the job and when they want someone out, then sends it straight to you.

What you get: Calls your team can't get to are handled, not lost to the next name on the list, and you see each one on your phone as it comes in.

  2. 02

    Live: it answers every call

Prefer every call answered the same way, every time? In live mode your receptionist picks up from the first ring, on every call, so no one waits on hold and no enquiry rings out. It greets the caller, answers from the facts you've verified, and either books the job onto a connected calendar or takes the details and sends them straight to you.

What you get: Every caller gets a warm, consistent answer, day or night, and each one reaches your phone as it happens.

How your receptionist learns

No coding. Set up in three steps.

01

Pick a voice

Choose a warm, natural voice. You can name your receptionist whatever suits your business.

02

Point it at your website

It reads and learns your services, hours and service area straight from your site.

03

Fill the gaps

You add anything not on the site, like pricing or an emergency policy, so it answers from verified facts and hands off rather than guessing.

A clean split

You keep working. We run the receptionist.

You do

  • Set a simple call-forwarding code from your carrier.
  • Give us your business details so it answers accurately.
  • That's it. No new number, no new carrier, no rebuild.

We handle

  • Build and train your receptionist on your business.
  • Set up the voice, and the calendar booking or hand-off.
  • Set up the text safety net once your messaging setup is verified.
  • Monitor it and keep it tuned.

The setup, step by step

Honest about what goes live, and when.

Your phone, backup or live

You keep your exact number, phone system and business cards. A quick call-forwarding code from your carrier takes a few minutes to set up.

Choose how it runs. In backup mode your receptionist answers only when your team can't, so if someone's at the desk at 2pm they answer as they always have. In live mode it picks up every call from the first ring. You can switch as your day changes.

A text safety net behind it

If a call ever goes unanswered, by you or your receptionist, the caller gets an automatic text within seconds so they're not left hanging. The first message names your business and gives a clear way to opt out.

We verify the sender and messaging setup before this goes live. In practice the phone side is typically live quickly, and the text safety net goes live once your setup is verified.

Above board

It answers from facts, and says so.

Your receptionist answers only from the facts you've verified, and hands off rather than guessing. Callers are told a receptionist is handling the call. The text safety net names your business and includes an opt-out, and opt-outs are honoured. It doesn't collect payment-card or medical details.

How it greets a caller

“Hello, you've reached [Business]. I'm their virtual receptionist. This call may be transcribed to help with your enquiry. How can I help?”

If a client turns on call recording, the greeting says the call will be recorded and why.

Frequently asked questions

Will I lose calls my own staff should be answering?
Not in backup mode. It only answers when no one on your team picks up, after hours or when the line is busy, so when your people can answer, they answer exactly as they do now. If you'd rather every call was picked up the same way each time, you can run it in live mode instead.
Can it answer every call, not just the ones I miss?
Yes. That's live mode: your receptionist picks up every call from the first ring, so no one waits and nothing rings out. Backup mode is the default, but you can choose live, and switch as your day changes.
Do I have to change my number or phone provider?
No. You keep your number, your phone system and your business cards. Setup is a short call-forwarding code from your existing carrier.
Will it make things up about my business?
It's designed to answer only from the facts you've verified. It reads your website, then you fill any gaps such as pricing or an emergency policy. If it doesn't know something, it's set up to hand off to you rather than guess.
What does it do with a caller's details?
It captures the name, the job and when they want someone out, then passes that to you or books it onto a connected calendar. Callers are told a receptionist is handling the call. We keep records for a limited period and delete them on request. See our privacy policy for how data is handled.
What about the text safety net, and when does it go live?
If a call ever goes unanswered, the caller gets an automatic text so they're not left hanging. It's a safety net behind the answering, not the main event. It runs through a messaging provider we verify first, so it goes live once your setup is checked. We tell you what applies to your number during setup, and we never promise a specific date.
What does £397 a month cover?
Call answering in backup or live mode, the missed-call text safety net, plus setup, training and ongoing management, for one location, under a fair-use policy sized for normal single-location trade volume.
What if it's not for me?
Two months to decide, and every penny back if you don't like it. It is unconditional. Cancel any time in your first two months, for any reason, and we refund every penny you have paid us, the first month and the website add-on build fee included, no forms and no back-and-forth. That gives you a full month with the receptionist actually running before you decide.
